Refund Policy

We want you to be happy with ContractorXP. This Refund Policy explains when and how you can request a refund for paid subscriptions billed through PayMongo. It supplements (and is incorporated by reference into) our Terms of Service.
1. 14-day free trial — no payment required
Every new company gets a 14-day free trial of the Professional plan. We do not collect payment information until you choose to subscribe at the end of the trial. There is nothing to refund during the trial period — you simply choose not to subscribe and your account becomes read-only.
2. 7-day money-back guarantee on first paid month
If you subscribe and decide ContractorXP is not for you, you can request a full refund of your first monthly payment within 7 calendar days of that first charge — no questions asked. This guarantee applies once per company, on the first paid invoice only.
The refund is credited back to the original PayMongo payment method. Refunds typically appear on your statement within 7–10 business days, depending on your card issuer or e-wallet provider.
3. Refunds outside the 7-day window
After the 7-day window, subscription fees are generally non-refundable. If you cancel mid-month, your subscription remains active through the end of the current billing period and will not renew. We do not pro-rate partial months.
We will, however, consider refunds in the following circumstances:
- Service outage: if monthly uptime falls below 95% in a calendar month due to our fault, you may request a pro-rated credit for the affected days.
- Duplicate charges: if our system or PayMongo's system charges you twice for the same period, we refund the duplicate within 5 business days of confirmation.
- Material defect: if a feature you specifically rely on (per documentation) breaks and we cannot resolve it within 14 days, contact us — we will discuss a refund or credit case-by-case.
4. AI add-on credits
The optional AI add-on is billed monthly along with your base plan. Used AI Estimate Reviews and AI Takeoffs are non-refundable. If you cancel the add-on mid-month, you retain access to AI features through the end of the billing period.
5. One-time fees and Enterprise contracts
One-time setup fees, custom-development fees, and amounts paid under bespoke Enterprise contracts are governed by the specific written agreement signed at the time of purchase, not by this policy.
6. How to request a refund
Email billing@nexdevsystems.io from the email address on the account, including:
- Your company name as it appears on the account.
- The transaction reference number from your PayMongo receipt.
- The reason for the request (a sentence is fine; required for our records).
We confirm receipt within 1 business day and complete eligible refunds within 7 business days. If the request falls outside these terms we will respond with the reason and any alternative we can offer.
7. Chargebacks
If you initiate a chargeback with your card issuer or PayMongo without first contacting us, we may suspend the affected account pending dispute resolution. We always prefer to resolve issues directly — please email us first.
8. Changes to this policy
We may update this policy from time to time. Material changes are announced by email and a banner inside the application at least 30 days before they take effect. Refunds are evaluated against the policy in force on the date the underlying charge was made.
